Job Description

We are seeking an experienced Receptionist/Mailroom Support to come join our team in Sunnyvale-San Jose, CA!

Shift: Full-Time, 40 hrs. per week, Monday-Friday; Able to work an 8 hour shift during regular business hours between 8am-6pm.

Requirements

  • 1-3 years experience: Receptionist, Office Assistant- heavy phone/light admin background
  • Office Assistant work will include so the person hired for this role will be open to performing these functions as needed: Hospitality (Conference rooms setups, restocking of kitchens, maintaining kitchens and conference rooms clean, supply orders and coordinating food deliveries) Mailroom ( Mail runs, delivery of accountable packages, possibly copy/scan depending of knowledge on equipment)
  • Mail Experience: Any experience processing mail/preparing packages for shipment and tracking/re-routing lost packages
  • High school diploma/GED
  • Excellent attention to detail, works well in fast paced situations & has a highly developed understanding of excellent customer service
  • Technical Expertise: Experience with Avaya or similar phone system; MS Office applications for correspondence work and light data entry as needed

Responsibilities

  • Provides a warm welcome to all guests, performs guest check-in procedures and seamlessly connects guests to their contact
  • Office Service duties as needed: Mail/Hospitality work, help to stock kitchen supplies as needed.
  • General Customer Requests- Connect employees with daily deliveries, help set up meeting spaces for meetings/events, make photo copies/scan documents
  • Top notch professional: Represent Swiss Post Solutions and our clients positively in all interactions (in person, on the phone, and over email)
  • Oversee the quality of the lobby concierge experience while demonstrating a spontaneous desire to assist others and provide excellent service
  • Exercises good judgement and discretion when needed
  • Good hospitality skills: Exhibit a courteous and gracious personality even in stressful situations
  • Keep building secure by receiving guests and contacting associated client host, coordinating with Building Security, and managing access levels for clients
  • Collaborate with other members of the team who are also responsible for the front desk experience, including cross training other staff on how to effectively handle the day to day operations
